A website-to-CRM integration should remove a specific handover problem. Perhaps enquiries are copied from email, assigned twice or left without an owner. Connecting software will not resolve an undefined process, so begin with the record staff need and the action that follows it.
Compare compatibility, field mapping, failure handling and acceptance before deciding whether either system needs replacement.
1. Write the handover in one sentence
Use this pattern: when a visitor completes this form, create or update this record, assign it using this rule and show staff this information.
For a hypothetical office-refurbishment business, that might mean creating a project enquiry linked to a contact and assigning it by service area. The example is illustrative, not an existing Nolixia customer integration.
Separate the person from the enquiry. One contact may request several jobs over time; overwriting the last job description can lose useful history. Ask the implementer how the selected CRM represents contacts, companies, enquiries and opportunities before deciding what to create.
2. Choose a connection that fits the actual form
| Approach | When to investigate it | What to confirm |
|---|---|---|
| Embedded CRM-provider form | The provider's form meets the website's requirements | Styling, accessibility, fields, loading and submission behaviour |
| Supported connector | A maintained connector supports both systems | Exact field coverage, ownership, limits and failure visibility |
| Custom server integration | The workflow needs control the other routes lack | Validation, credentials, retries, monitoring and ongoing maintenance |
A tracking script is not automatically a dependable integration. HubSpot's non-HubSpot form documentation lists restrictions including static HTML forms, no JavaScript submit handlers, no iframe and no single-page application. It also explains that script loading affects capture and submit clicks can produce partial submissions.
That is a platform-specific example of why an implementer must inspect the form architecture. HubSpot's Forms API guide distinguishes embedded provider forms from captured external forms. Ask which supported route fits your site rather than assuming one setup works everywhere.
3. Approve a field-mapping sheet
The website label and the CRM property may look similar while storing different information. Agree mappings before building automation.
| Website information | Destination to agree | Rule to document |
|---|---|---|
| Contact name and email | Contact fields | What identifies an existing contact? |
| Company | Company or enquiry field | Is it optional for individual customers? |
| Service requested | Enquiry category | What happens to an unknown choice? |
| Job description | Enquiry notes or description | Are formatting and length preserved? |
| Area | Routing information | Who handles an unrecognised location? |
| Submission reference | Integration reference | How is a repeated delivery detected? |
Ask staff to review an example record containing invented test data. Avoid collecting fields solely because the CRM happens to offer them.
4. Separate receipt, notification and sales status
Define which event counts as successful receipt: the request stored by the website, the record accepted by the CRM or both. Explain the recovery process if only one succeeds. Do not display an unconditional success message while the underlying operation is still uncertain.
An email notification is a prompt to act, not the enquiry register itself. Decide where staff check unassigned requests and which person owns exceptions. If the provider is unavailable, specify how the request is retained or how the customer is told that delivery could not be confirmed.
A contact record, a marketing subscription and a qualified opportunity are separate decisions. Agree those settings explicitly instead of turning every form submission into every possible downstream action.
5. Buy a testable result
Include these scenarios in the acceptance brief:
- A valid new enquiry creates the expected records and owner.
- A new enquiry from an existing contact preserves earlier job history.
- A validation failure does not create a misleading completed request.
- A repeated delivery does not create unintended duplicate opportunities.
- A missing or unsupported field produces a visible, understood outcome.
- Provider downtime and notification failure follow the agreed recovery path.
- Staff can locate the website reference and the associated CRM record.
Record each test's date, reference, expected outcome and observed result. Use approved, invented test data. Remove or label test records according to the business's agreed process, and never count them as new customers.
6. Set ownership after launch
Ask who controls the provider account, who receives failure alerts and who renews any connector subscription. Credentials should be managed through an appropriate backend configuration rather than copied into public website code or shared in an initial sales message.
Request a short handover explaining mappings, operational checks, dependency ownership and the route for changing a field. Compare quotations using that same scope; otherwise a simple notification connector and a managed enquiry workflow can appear deceptively similar.
The existing website project preparation guide can help assemble the business context before discussing implementation.
Discuss the integration scope
Contact Nolixia with your website platform, CRM name and the handover you want to improve. Our dashboard and integration services can be scoped around compatibility and agreed acceptance tests. An assessment determines which approach is suitable.
